AI for freelancers and small businesses: which subscription fits you?

For a Dutch freelancer (zzp'er), an AI subscription is not a consumer purchase but a business asset, and that changes the math on three points: you can reverse-charge the VAT, you deduct the costs from your profit, and you need an invoice your accountant accepts. If you set that up properly, you effectively pay considerably less for the same subscription than a private individual does.

At the same time, you take on a responsibility you do not have as a private user: the moment you paste client data into a chatbot, you are the data controller. That suddenly makes the question "where is my data" just as important as the question "what does it cost".

This article covers both: first the money, then the choice per profession, and finally when a business subscription is really necessary.

How does the VAT trick make business use cheaper?

OpenAI, Anthropic, Perplexity, xAI, Mistral and Poe invoice in dollars excluding VAT. As a private individual, 21% Dutch VAT is added on top: at an exchange rate of $1 = €0.8687, a $20 subscription becomes €17.37 excluding and €21.02 including VAT.

If you enter your VAT number at checkout, those providers reverse-charge the VAT to you. You then pay €17.37 instead of €21.02, and you declare the reverse-charged VAT yourself in your VAT return, where you reclaim it in the same return if you have VAT-liable activities. On balance it costs you nothing, but you also do not advance anything. Across three subscriptions, that saves more than €130 per year in advanced VAT.

Google and Microsoft work differently: they price their Dutch plans directly in euros including VAT. Google AI Pro costs €21.99 and stays €21.99, regardless of the dollar exchange rate. For those services, you usually need a business version to get a VAT-free invoice.

Apart from the VAT, the subscription is an ordinary business expense that you deduct from your profit. If you also use the same subscription privately, strictly speaking a private-use correction applies. For amounts of around twenty euros per month, that is rarely an issue, but your accountant is a better advisor on this than we are.

What makes an invoice usable for your accounting?

A small detail with big consequences at year-end: not every provider delivers an invoice that goes into your books without hassle.

An invoice in dollars means you have to process the exchange rate difference every month. With one subscription that is manageable, with four it becomes a chore. On top of that, the dollar rate makes your monthly costs move: a five-cent difference on the dollar already adds up to more than three euros per month across three subscriptions. Not dramatic, but annoying if you work with fixed monthly budgets.

With Poe, there is something extra: the app, support and invoices are entirely in English, and the subscription charges in compute points instead of messages. For bookkeeping that is fine, for explaining your costs to a business partner less so.

That euro invoices in Dutch are clearer is exactly one of the reasons we exist. But it is a convenience argument, not a decisive one: if you have one subscription and it works, one dollar invoice per month is no disaster.

Which AI subscription fits which profession?

The honest rule of thumb: choose based on what you do all day, not on what can do the most.

A few explanations. Claude Pro is the strongest choice for writing professions because Claude scores 5 out of 5 on natural Dutch in our language test, against a 4 for ChatGPT and Gemini. For texts that go out with your name on them, that is the difference between editing and rewriting. The same subscription includes Claude Code and Claude Cowork, which immediately makes it the best-value plan in the €21 class for developers.

Google AI Pro is essentially a storage subscription with AI included: 2 TB of storage, NotebookLM, Deep Research and a context window of one million tokens. If you already use Google Workspace or Google One, it is the smallest step.

Le Chat Pro, at €15.76, is the cheapest Pro subscription and the only one with processing in the EU, in France and Sweden, plus a mode without telemetry. The context window of Mistral Medium 3.5 is smaller, though, at 256K tokens compared to the competition's one million.

ChatGPT Plus has the broadest package: GPT-5.6 Sol, Sora 2 for video, GPT Image 2 for images, Codex and Deep Research. If images and video are part of your work, no other subscription in this price range includes that.

When do you need a business plan?

There is a difference between a consumer subscription you use for business and a business subscription. For a sole proprietorship, that difference is often not worth it; as soon as you work with several people or with third-party data, it is.

What you buy with a business plan is not primarily a smarter model, but management: adding and removing users, one invoice, and clear agreements about what happens to your data. With Claude Team, the threshold of at least five seats with annual billing is often just too high for a small agency; three people with separate Pro subscriptions is cheaper in that case.

Client data: what should and shouldn't go into a chatbot?

As soon as a prompt contains personal data of clients, you are the data controller under the GDPR (AVG in Dutch). That means you have to know where the processing takes place and whether your data is used for training.

Four facts you need. With Claude, training is off by default on paid consumer plans; if you turn it on, your data is retained longer. Mistral processes in the EU, in France and Sweden. Microsoft has an EU Data Boundary for business customers. DeepSeek runs in China and there is no adequacy decision for it, which makes it unsuitable for personal data or client data, however cheap it is.

The practical line: for generic tasks such as brainstorming, text formatting and summarizing public documents, just use the model you like. If you work with case files, medical data, HR matters or clients' financial records, choose a service that processes in the EU and record which one it is. Anonymize where you can: replacing a name with "the client" takes ten seconds and removes the biggest risk.

What does a stack of subscriptions really cost?

Most freelancers start with one subscription and end up with three, because each model does something else well. That is a logical way of working, but the bill adds up.

ChatGPT Plus, Claude Pro and Google AI Pro together cost €64.03 per month, or €768.36 per year. Add Perplexity Pro and SuperGrok and you are at €116.58 per month, almost €1,400 per year. For a sole proprietorship with revenue of around a hundred thousand euros, that is no disaster, but it is an expense no one consciously budgeted for. Our answer is one Dutch subscription with all the models included, for €12.95 per month, with invoices in euros and fixed limits instead of compute points. Where we cannot compete: the Office integration of Microsoft 365 Copilot, the video from Sora 2 and the storage that comes with Google.
